- Managing Collections including libraries and the museum archive
- Managing the digital archives
- Analysing gaps in and ensuring growth of collections

SALARY AND BENEFITS
The salary range quoted above excludes employment benefits comprising a 13th cheque, a contribution towards a designated retirement fund (compulsory) and a designated medical aid (voluntary) as well as a housing subsidy. Additional employment conditions such as leave entitlement are generous.

FINANCE & ADMINISTRATION DEPARTMENT
Basic Salary Range: R233 616 – R316 056 per annum, excluding benefits
Requirements:
- Grade 12
- Relevant 3 year tertiary qualification in Supply Chain Management (Procurement) or equivalent related qualification as an added advantage
- Proven relevant experience in supply chain or financial environment in the public sector
- Sound knowledge of the General Recognition of Accounting Practice (GRAP) and
- International Framework of Reporting Standards (IFRS) with regard to Asset Management
- Knowledge and experience in Contract, Records and Fleet Management
- MS Office 365 experience at advanced level
- Valid driver’s licence as an added advantage.
Key Responsibilities include:
- Administer procurement of goods and services in terms of Supply Chain Management system, Iziko’s Supply Chain Management Policy and Legislative environment
- Liaise with and assist departments with the development of written requests to quote
- Advise and assist vendors with registration on the Central Supplier Database (CSD)
- Assist internal customers with obtaining relevant documentation and review requisitions to determine if legislative documentation accompanies requisitions and payment vouchers before payment
- Review comparative quotes in terms of National Treasury procurement thresholds
- Review requisitions, score and select vendors in terms of the preferential scoring principles as legislated
- Prepare bid documentation and the general conditions of a contract in accordance with the instructions of National Treasury; or any other prescripts
- Prepare documentation for the publication of awards in the Government Tender Bulletin and other media in line with advertised bids
- Assist in bid specification and evaluation committees as directed
- Provide assistance with negotiating contractual conditions and prices with suppliers
- Assist with the maintenance of contract register
- Provide assistance with the interpretation of contracts and SLA’s
- Administer asset requisitions
- Assist with ensuring that asset information in asset module in accounting system is correctly captured
- Assist with ensuring that depreciation is run in the asset module on a monthly basis
- Assist with the preparation of a reconciliation statement between the fixed asset module and the general ledger on a monthly basis
- Assist with asset revaluations on an annual basis
- Assist with ensuring that new assets are insured
- Assist with ensuring that assets approved for disposal are removed from the asset register
- Participate in continuous stock-takes every second month and annually
- Assist with obtaining quotes for repairs related to the fleet
- Assist with licence renewals
- Assist and advise departments with insurance requests
- Compile a list of new assets for insurance purposes
- Check that insurance claims are valid
- Provide all relevant monthly reports that relate to area of responsibility
- Assist with the preparation of quarterly supply chain management reports in the required format within deadline dates
- Assist with the compilation of the Annual Procurement Plan
- Assist with the preparation of the annual financial statements
- Perform compliance monitoring functions for the entire organisation (PFMA, SCM and National Treasury Regulations)
- Identify and report risks identified in area of responsibility.

Basic Salary Range: R161 508 – R218 544 per annum, excluding benefits
Requirements: Requirements:
- Grade 12
- Accounting Certificate as an added advantage
- Proven relevant experience in an accounting environment
- MS Office 365 experience at advanced level
Key Responsibilities include:
- Receive sealed bags containing monies collected from sites for entrance fees on a daily basis
- Ensure that all monies received are counted and accuracy of amounts verified according to procedures
- Verify correctness of cheque, cash and credit card receipts against the daily summary sheets completed and received from sites
- File summary sheets from sites & check that monies for every day has been submitted by all income generating points
- Issue the Debtors and Creditors Administrator with a copy of the bank statement that accounts Receivable receipts can be identified for cashbook allocation purposes
- Capture receipts for income received from debtors and link it to the Accounts Receivable Module
- Ensure that money is sealed in a money bag and locked away in the safe after counting
- Complete the deposit slip by writing the cash and cheques up individually on the bank deposit slip and recording receipt numbers issued on the day on the bank deposit slip in the reference space
- Ensure that both parties verify that monies receipted are equal to bank deposit by signing the bank deposit summary sheet and deposit slip
- Receive Human Resource (HR) related payment vouchers from HR department
- Check general ledger allocation of HR payment vouchers
- Capture HR related payments in the cashbook
- File HR supporting documentation
- Complete the “Application to sell foreign currency” forms for the bank (Foreign currency received)
- Create cashbook batches according to the daily deposits and elect payment batch
- Print batch and verify batch totals and sign
- Reconcile bank statement transactions to the cashbook
- Submit Cashbook, bank reconciliation reports and bank statements to Bookkeeper and Financial Manager for signature
- File, print and maintain all essential records such as payment vouchers, bank-reconciliations, Cashbook, journals, bank statements, receipts, cheque and transfer batches
- Provide input to Finance Manager and Chief Financial Officer with regard to risks identified in area of responsibility.

RESEARCH & EXHIBITIONS DEPARTMENT

- Research experience in a biodiversity-related field, preferably in terrestrial vertebrates
- Proven academic research and writing ability
- Computer literacy in MS Office
- Valid driver’s licence.
Key Responsibilities include:
- Assist in the identification of conservation requirements timeously and ensuring that these are addressed
- Conducting fieldwork to ensure the strategic acquisition of specimens
- Assessing specimens for inclusion in the mammalogy, ornithology and herpetology collections
- Preparing fundraising proposals and ensuring the stewardship of Natural History unit grant agreements
- Contributing to the development and implementation of Iziko’s over-arching exhibition strategy to ensure optimal educational heritage and societal benefits
- Developing exhibition concepts, proposals and budgets in collaboration with other curators, exhibition designers and education tea
- Contributing to site development strategy in consultation with relevant internal and external stakeholders
- Contributing proactively to education and public programmes as required.
Competencies Required:
- Excellent English written verbal and communication skills
- Report-writing skill
- Ability to organise, present and communicate messages effectively through design
- Knowledge of financial management and fundraising

- Undertaking research intended for the purpose of exhibition development

- Developing script/ text for exhibitions in consultation with exhibition information designers and the education team
- Contributing to site development strategy in consultation with relevant internal and external stakeholders
- Contributing proactively to education and public programmes as required.

HUMAN RESOURCES DEPARTMENT

Requirements: Relevant 3- year tertiary qualification in HR Management/ Industrial Psychology or Social Sciences Proven relevant experience in Human Resources Intermediate level computer literacy in MS 365, VIP Premier HR Information System or similar Proven experience in working with budgets.
Key Responsibilities include:
Drafting, implementing and monitoring the annual Learning and Development Programme ensuring compliance with strategic objectives, supply chain procedures and the PFMA • Facilitating and co-ordinating annual performance management processes, including the related administration, in line with the Performance Management policy • Co-ordinating and monitoring an approved Employee Assistance Programme • Ensuring all procedures for areas of responsibility are updated and implemented • Supporting and administering all workplace relations processes including union consultations, disciplinary interventions and staff meetings • Analysing HR information on a variety of workplace issues • Ensuring all monthly, quarterly and annual reports are delivered timeously.
